The Meeting Room Booking Process
Available Meeting Room Services
- Enterprise Wi-Fi: High-speed, fiber-based internet included with every booking.
- Staffing: On-site staff available Monday–Friday, 9 AM to 5 PM. Custom support available for after-hours bookings.
- Trash & Recycling: We handle waste, recycling, and compost services on your meeting day.
- Accessible Parking: Free parking available at Beryl Road, Dock 1053, and Wake Forest locations.
- Water Station: Large dispenser and compostable cups available upon request.
- Coffee Bar ($50): Includes locally roasted coffee, cream, sugar, compostable cups, and lids.
- Brainstorming Package ($50): Includes flip chart, markers, notepads, sticky notes, pens, and pencils.
Frequently Asked Meeting Space Questions

Our booking software only allows bookings on business days. If you are interested in using our space outside of normal business hours or on the weekends, please send an email to events@theloadingdock.com.

Cancellations with more than 14 business days' notice will receive a 50% refund. Cancellations made less than 14 business days in advance are non-refundable; however, our team will work with you to reschedule your booking for a later date within the next 6 months. Please note that only one reschedule request will be accommodated.
Cancellations due weather closures: In the event that we are not able to safely staff The Loading Dock during your booking, we will apply a credit for a future booking within the next 6 months.
Contact your campus team for any changes to your booking.
The Loading Dock will make reasonable efforts to remain open and operational during inclement weather when conditions are deemed safe. In the event The Loading Dock is fully closed and unable to provide access to the reserved space due to inclement weather or unforeseen circumstances, charges for the affected booking day(s) will be applied as a credit to a future booking within the next 6 months. If The Loading Dock is open for the reserved booking period, the booking will be considered fulfilled and standard booking fees and cancellation terms will apply.

For conference room bookings, setup and teardown time is not included. Please add additional time for any setup or breakdown needs.
Classrooms, training rooms, and boardrooms all have a 30-minute buffer before and after bookings for setup and breakdown.

Yes. You are welcome to make your own catering arrangements. Feel free to ask a staff member for recommendations.

You are permitted to serve alcohol at your upcoming meeting, provided that all applicable laws and guidelines are followed.
North Carolina law permits the serving of beer, wine, and champagne with or without the assistance of a bartender, provided the property owner has been notified and given permission.

Yes! All Loading Dock Members have complimentary conference room bookings each month, or can book additional time for only $15/hr. Non-profit organizations receive a discount off bookings.

All meeting space is inside and should not be affected by rain or inclement weather. However, if the weather keeps us from being able to host your event, you will be able to reschedule for no additional charge within one year of the original date.

There are instructions for connecting using AirPlay or a direct HDMI connection. Staff is available during our regular business hours to support connection issues.
